Staff Academy lesson 10 of 12
Respond well to a cancellation request
Acknowledge the request, understand the reason, explain the written policy, and process or escalate it without obstruction.
Learning objective
The member leaves with a clear, documented answer even when the relationship is ending.
Sample language
“I’m sorry to hear that, and I can help document the request. May I ask what changed? I’ll explain the written policy and the exact next step; I won’t make you repeat the story to several people.”
Use this as a structure. Replace every bracketed field and follow the school’s approved terms and language.
Coaching points
- Do not hide the process or require unnecessary friction.
- Listen for a service problem worth escalating, without making retention the price of cancellation.
- Quote only the current written agreement and policy.
- Record the request time, actor, reason, response, and effective next step.
Practice scenario
A parent requests cancellation by phone and is frustrated about having to explain why.
Role-play scorecard
- Acknowledged promptly
- Explained policy accurately
- Avoided pressure or obstruction
- Documented escalation
Apply it to real work
Practice the full cancellation intake using the school’s current policy.
Completion evidence: A manager confirms that the staff member can document and route a request correctly.
