Staff Academy lesson 9 of 12
Have a useful retention conversation
Reach out after a meaningful attendance change to understand the obstacle and offer only solutions the school can actually support.
Learning objective
Staff can check in with care, learn the real issue, and agree on an appropriate next action.
Sample language
“We’ve missed you in class and wanted to check in. How is training fitting into life right now? Is there anything we should know or help you plan around?”
Use this as a structure. Replace every bracketed field and follow the school’s approved terms and language.
Coaching points
- Verify that the attendance signal is accurate before reaching out.
- Lead with care rather than a cancellation warning.
- Do not promise medical accommodations, schedule changes, or account credits without authority.
- Document the member’s response and agreed follow-up.
Practice scenario
A normally consistent teen has missed two weeks, and a parent says the school schedule has become difficult.
Role-play scorecard
- Referenced accurate evidence
- Asked rather than assumed
- Offered an authorized option
- Set a follow-up
Apply it to real work
Complete one quiet-member check-in and record the result.
Completion evidence: The Academy application note or approved external process records the contact, response, and next action. A general member-note timeline is not currently modeled.
