Money Move 1 of 9
Resolve failed and overdue payments
Review failed and overdue membership payments, contact the payer respectfully, and document the resolution without treating an unpaid invoice as recovered revenue.
The outcome
Every overdue balance has a clear owner, next action, and truthful status.
Evidence to review
- Invoices or subscriptions currently marked past due or unpaid
- The most recent payment attempt and failure reason available from the processor
- Prior contact, payment arrangements, freezes, and cancellation requests
Run the move
- 1Separate recent card failures from accounts that need a policy conversation.
- 2Contact each payer through an approved channel using neutral, service-oriented language.
- 3Record the agreed next step and follow through on the promised date.
- 4Count money as recovered only after a successful payment is recorded.
Monthly scorecard
- Past-due accounts at the start and end of the month
- Balances actually collected
- Accounts moved to an agreed freeze, cancellation, or payment plan
What should and should not be automated
Software can surface balances, prepare a queue, and record outcomes. A school must approve collection policy and sensitive member communication.
