Invite a member or parent to the portal

Create an email-bound, seven-day link and control exactly which profiles an account may see.

Before you start

  • Owner or manager access.
  • A member record.
  • The exact member, parent, or guardian email that will own the account.

Choose the account relationship

Open the member profile and find Member & parent portal. Choose Member for self-access, or Parent/Guardian for an adult managing the profile.

Self-access uses the email stored on the member record and cannot be overridden. Parent or guardian access may use a different validated email.

Find a member
Watch out: Member email editing is not yet self-service. If a self-access record has no email, use the correct parent/guardian workflow or contact support.

Create and deliver the one-time link

Choose Create portal invite. When invitation email is configured, the app sends it automatically; keep the displayed backup link until the recipient confirms receipt. It expires after seven days.

The raw token is never stored and is not shown again. Create a fresh invitation if it is lost.

Have the recipient accept with the exact email

The recipient opens the link, signs in or creates an account using the invited address, then chooses Accept portal access.

A different signed-in email cannot accept the link. This prevents a forwarded link from granting access to another account.

Review or revoke the link

Accepted accounts appear under Active portal access on the member profile. Revocation immediately removes that profile from the account.

Repeat the process for each child or related profile that the same parent should manage.

Troubleshooting

If something looks wrong

The recipient sees “email does not match.”

They must sign out and use the exact invited email. Otherwise revoke the invitation and create a new one for the correct address.

The link expired or was lost.

Create a new invitation. Old tokens cannot be recovered, extended, or reused.
