Add members and families

Before you start

  • At least one program.
  • Attorney-approved waiver text and a version label if recording a waiver.

Create or join a family while adding a member

In Members, choose ADD MEMBER to open the member form. Under Family / household, leave Individual member selected, choose Join an existing family, or choose Create a new family. Saving opens the new member profile.

Use Save and add another family member to save this student and keep the family selected for the next person. A parent contact does not need a student record. Family grouping does not change payments, membership plans, or portal permissions.

For someone already on the roster, open their profile and choose Add family member. Add new person creates a relative, or Link existing person groups existing records without recreating them. An individual can also use Join or create a family for this member. Existing families are never automatically merged.

Add the member record

Enter the member’s name and any contact details you are authorized to store. Choose the current lifecycle status: prospect, trial, active, frozen, or cancelled.

Use trial or active for people who need to check into class. Frozen and cancelled members cannot check in.

Tip: An email is optional, but self-service portal access later requires the exact email saved when the member is created.

Enroll the member in each program

Open the member profile’s Enrollment tab and choose Enroll in a program. Its default price is selected in billing confirmation, where you can choose another option and review class access, price, discounts, and any expiry.

Program enrollment keeps attendance and rank progress independent. The current membership also controls allowed classes, weekly or pack limits, and paid-in-full access dates. Program enrollment alone never starts a payment.

End an enrollment when the member leaves that program. Historical attendance and rank records remain.

Record a starting rank

In Attendance & progress, choose Record promotion, select the program’s first rank, and add a note when useful. Later promotions must follow the progression in order.

If no promotion option appears, confirm the member has an active enrollment and the program has a belt progression.

Capture waiver evidence

Open Waivers and choose Record signed waiver. Paste the complete attorney-approved agreement, provide a version, identify the signer and relationship, and require the electronic-signature consent checkbox.

Dojo Wizard stores an immutable snapshot of the text, version, signer, relationship, method, and consent evidence for that signature.

Watch out: Dojo Wizard does not supply legal waiver language. Have local counsel approve the text and signing process.

Troubleshooting

If something looks wrong

Why is the member missing from a class roster?

Confirm the member is trial or active, actively enrolled in the class program, within the check-in window, and not already checked in.

Can I import a roster?

Self-service roster import is not available. Use the migration review workbook in “Prepare school data for migration review,” then contact onboarding@dojowizard.com. Support is confirmed only after source review, mapping, and sample validation. The separate Data imports workflow accepts only the standardized historical Billing History CSV after an approved scope.
