Run attendance and the QR kiosk

Check members into the right program safely, distinguish bookings from attendance, and use either the roster or front-desk camera.

Available now

This workflow is available in the live web product. Follow the documented data controls and keep appropriate operational backups.

Before you start

  • An upcoming class session linked to a program.
  • Members marked trial or active and enrolled in that program.
  • Camera permission if using QR mode.
1

Choose roster or kiosk mode

For staff check-in, open Classes, choose the session, select an eligible member, and submit. The roster updates on the same page.

For self check-in, open Kiosk check-in, choose the session, and leave the device at the desk with the scanner visible.

2

Present the member QR code

A member’s QR appears on their staff profile and in an accepted member/parent portal. It may be printed, placed on a key tag, or shown from a phone.

The QR identifies a member for the staff-operated kiosk. It is not an account login token.

3

Confirm the result before the next scan

A successful scan displays “Checked in.” The scanner briefly pauses to prevent the same code from being submitted repeatedly.

Review the session roster for the final attendance record. A member who reserved in the portal appears as Booked until staff or the kiosk completes check-in.

4

Understand the safeguards

Check-in opens 60 minutes before class and closes three hours after the session ends. Duplicate check-ins, weekly plan overages, and entries beyond capacity are rejected.

The member must be trial or active and enrolled in the session’s program. These rules apply equally to manual and QR check-in.

Direct reservations, checked-in members, and active ClassPass reservations share the class capacity. A direct member represented in both the booking and attendance sets counts once.

Troubleshooting

If something looks wrong

The kiosk says Camera unavailable.

Allow camera access for this site, use HTTPS outside local development, close other apps using the camera, and reload the kiosk page. Use manual roster check-in as the fallback.

The member is not eligible.

Verify their status, active program enrollment, the class program, check-in window, duplicate status, and class capacity.

Keep going
