Track progress and record promotions

Use matching attendance as a signal, then record coach-approved ranks in order.

Available now

This workflow is available in the live web product. Follow the documented data controls and keep appropriate operational backups.

Before you start

  • A program rank ladder.
  • An active program enrollment for the member.
1

Open the member profile

Find the student under Members & families. Promotion progress is shown separately for every active program enrollment.

If there is no current rank, record the ladder’s first rank as the starting point.

2

Read the progress card

The card compares matching classes and elapsed days since the previous promotion with the requirements on the next rank.

“Eligible to test” is an operational signal. It does not automatically promote anyone and does not replace instructor judgment.

3

Record the approved promotion

Under Record a promotion, choose the available next rank and add optional testing or coach notes.

Only the first or immediate next rank appears. Skipped ranks, ranks from another program, and unenrolled programs are rejected.

4

Verify rank history

The new record appears in Rank history with its date and notes. The progress card advances to the following rank and restarts its since-promotion counts.

Members and parents can see the current rank and progress after portal access is accepted.

Troubleshooting

If something looks wrong

The student is eligible but the promote option is missing.

Confirm the enrollment is active and the ladder has a valid immediate next rank with a unique position.

Can I promote before the suggested thresholds?

The thresholds drive the eligibility signal, while the coach makes the final decision. Rank order and program enrollment are always enforced.

Keep going
