Schedule classes and locations

Build a recurring timetable, handle school and branch timezones, add one-off sessions, and understand which dated occurrences keep history.

Before you start

  • At least one program.
  • The school timezone confirmed under onboarding or Locations.

Add branches only when needed

A single-location school may skip branch creation and use the school timezone. Multi-location schools should add a name and timezone for every branch.

When a class has a location, that location’s timezone controls its displayed and generated time.

Create the weekly schedule

Open Classes and add recurring templates such as Adult BJJ on Monday at 6:00 PM. Select the matching program, duration, optional capacity, and location.

Templates generate real sessions for the current schedule automatically; you do not recreate every class each week.

Review upcoming sessions

Upcoming sessions are the records used by attendance and the kiosk. Open one to see eligible members and the live roster.

Removing a recurring template removes future occurrences that have no attendance or active booking. Past, attended, or actively booked occurrences remain as one-off history so their roster and audit evidence are not lost.

Add a one-off session

Use One-off session for an open mat, visiting coach, make-up class, or other event that should count as class attendance.

Seminars that need registration, price, or event capacity may fit better under Events.

Open only the occurrences members may book

Member booking is closed by default. Open a dated class occurrence and let an owner or manager choose Open member booking when its capacity and details are ready.

Opening one occurrence does not open every future class in the recurring series. This keeps schedule changes under staff control.

Troubleshooting

If something looks wrong

Why did a recurring class appear at the wrong hour?

Check whether its location has a different timezone from the school. Also confirm the IANA timezone spelling rather than using a fixed UTC offset.

What is the difference between a class and an event?

Classes feed attendance and rank progress. Events track registrations and optional event capacity or price.
