Open classes for member reservations
Let invited members reserve selected class occurrences while protecting capacity, program eligibility, and weekly plan limits.

Before you start
- A future class occurrence with the correct program, location, and optional total capacity.
- Owner or manager access to open member booking.
- An active member enrolled in the class program with accepted portal access.
Confirm the dated occurrence
Open Classes and select the exact dated session members should be allowed to reserve. Confirm its local time, location, program, and capacity before opening it.
Booking is closed by default and controlled per occurrence. Opening Tuesday’s class does not automatically open the rest of the recurring series.
Open member booking
On the class page, an owner or manager chooses Open member booking. The status changes from Closed to Open.
Instructors and front-desk staff can see the booking state and roster, but only owners and managers can change the booking gate.
Have the member reserve in the portal
The member or parent opens the linked profile, finds the occurrence under Upcoming schedule, and chooses Book class.
The portal allows only active members with the required program enrollment, an available plan use when a weekly limit applies, and an open capacity spot.
Run one combined roster
A direct reservation appears as Booked. Check the member in at the gym to change the operational roster state to Checked in and create attendance.
Capacity uses the distinct union of direct reservations and check-ins, plus active ClassPass reservations. A booked member who checks in consumes one spot, not two.
Cancel or pause deliberately
A member may cancel a booking before class starts as long as that member has not checked in. Cancellation releases the held spot and applicable weekly availability.
An owner or manager may pause new member booking on the occurrence. Existing bookings remain on the roster and can still be cancelled before the cutoff conditions above.
Troubleshooting
If something looks wrong
Why does the portal say Booking unavailable?
Confirm the member is active, enrolled in the class program, has weekly availability when applicable, has not already checked in, and that the future occurrence is open with capacity remaining.
Why can a trial student check in but not reserve?
Version one limits portal reservations to active members. Staff may still check an eligible trial student into class under the normal attendance rules.
Does pausing booking cancel everyone?
No. Pausing closes the occurrence to new portal reservations. Existing booked members remain visible until they cancel or staff check them in.
