Publish an intro offer, capture prospects, work the follow-up queue, and schedule trials.

Before you start
- A completed school profile and public page slug.
- The intro or trial you want to offer: number of classes, duration, price, and follow-up cadence.
- An approved process for calling, texting, and emailing prospects, including opt-out handling.
Create the intro or trial offer
Open Leads & trials, expand Create an intro offer, and name the exact first step you sell—for example Free first class, Three-class intro, or One week unlimited.
Set a class limit, a valid number of days, or both. The price may be zero. Public offers appear on the school page; archiving an offer hides it without removing historical lead records.
Define the follow-up rule
Follow-up days are offsets from the inquiry. The default 0, 1, 3, 7 creates a task immediately and again on days one, three, and seven.
These are visible staff work-queue tasks. When consent-based messaging is fully activated, due email or SMS tasks may be queued only for a recipient with a current opt-in for that exact channel. Calls and every ineligible task remain manual.
Preview and share the public capture page
Use View public page from the dashboard. Confirm the school profile, published intro cards, plan interests, phone, and contact consent before sharing the link.
The form captures the student, adult/teen/child context, parent or guardian when applicable, intro selection, program interest, preferred channel and time, campaign parameters, and consent evidence.
Add campaign tags to shared links when useful—for example ?utm_source=instagram&utm_campaign=back-to-school. The source and campaign appear on the lead record.
Work the next-action queue
New public and staff-entered leads receive dated follow-up tasks. Overdue and due-today counts stay visible above the pipeline.
Open the lead, assign an owner when your team shares the queue, and confirm the preferred contact method and time. Use the Call, Text, or Email shortcut, then record the outcome or complete the matching task. A first recorded contact moves a new lead to Contacted.
Schedule the trial
Choose the start and optional end. When the end is blank, the selected offer duration supplies it.
Scheduling creates a linked trial roster record so staff can enroll the student in a program, collect the waiver, and check the student into eligible classes. The shared staff/QR check-in policy enforces the offer’s scheduled window and class cap. The lead remains in the Trial stage and receives a post-trial follow-up task.
Convert or close the lead
Choose Convert to member after the student joins. The linked trial record becomes active, the lead moves to Won, and remaining prospect follow-ups are skipped.
If the prospect does not continue, choose Lost. Pending tasks are closed and a linked trial member is cancelled; the timeline remains for reporting and future context.
Export the pipeline when needed
Use Export CSV on Leads & trials to download the school’s lead contacts, attribution, consent evidence, trial dates, ownership, and status.
Treat this file as sensitive student and prospect information. Store and share it only through an approved school process.
Troubleshooting
If something looks wrong
A public form submission does not appear.
Confirm you are viewing the correct gym, the visitor accepted consent, and the form did not show a validation or rate-limit message.
Why did a second form submission update an existing lead?
Open leads are matched by normalized email or phone inside the same school. A repeat inquiry is added to the timeline and creates an immediate task when no pending task exists, avoiding duplicate prospect cards.
Does completing a task send a message?
No. Manual completion records staff work. The background delivery system separately completes an eligible email or SMS task only after the provider accepts the queued message.
Why can the trial student not check in?
Scheduling creates the trial roster record, but the student must also have an active enrollment in the class program and be inside the check-in window.
