Before you start
- A configured school and staff account.
Post an announcement
Create a title and message under Announcements. The record appears in the staff workspace and accepted member/parent portals.
When the owner has activated a verified channel, managers can queue delivery to members with a current matching opt-in. Otherwise the queue controls remain disabled and the portal announcement still works.
Choose the correct event workflow
Use Events for seminars, belt tests, camps, and tournaments. Staff may manage the roster, or an owner or manager may open an eligible free event for linked member registration.
Capacity and registration cutoffs are enforced. A displayed price remains staff-managed and does not collect money online.
Track products, counter sales, and optional online orders
Add uniforms, belts, apparel, and equipment with a price. Track exact quantities when that helps, or turn quantity tracking off for broad product categories that the school does not count individually.
A sale can contain several products, link to a member or walk in buyer, include a discount, and produce a printable itemized receipt. Uniform installment plans track how many payments have been received.
Online store settings are optional and off by default. Owners can offer pickup, US shipping, both, or neither, then publish only the products that should appear online. Paid online orders enter the fulfillment queue.
Counter sales record the payment method but do not charge a card. Online orders use the connected school Stripe account and remain unavailable until live payment controls are ready. Stripe Tax is optional and should be enabled only after the school configures its tax registrations.
Use reports as operational signals
Owners and managers can review member counts, leads, check-ins, quiet members, active subscriptions, MRR, and recorded shop revenue.
MRR is a plan-based operating estimate and recorded shop revenue is an internal sale total. Reconcile invoices, payouts, refunds, disputes, processor fees, cash, and taxes against Stripe, the bank, and the accounting system.

If something looks wrong
Did the announcement email or text actually send?
The queue confirmation is not a delivery receipt. Review the messaging status in Settings: queued, sent, delivered, failed, bounced, complained, suppressed, and canceled are distinct states.
Why did recording a sale not charge a card?
The New sale form is for front desk records and updates the internal stock and sales ledger only. Take that payment through the approved front desk process. Customer purchases from the separately enabled online store are sent to Stripe checkout.
