Before you start

  • Owner or manager access.
  • Member statuses, attendance, lead stages, memberships, and counter sales recorded consistently.
  • Stripe access when reconciling invoices, payouts, refunds, disputes, or fees.

Choose the operating window

Open Reports and choose 30 days, 90 days, or 1 year. New members, check-ins, and recorded pro-shop revenue compare that rolling window with the equally long period immediately before it.

Use one window consistently in a meeting so the team does not compare totals drawn from different periods.

Read the membership and growth signals

Active members and Total members come from current roster statuses. Open leads exclude won and lost records, while Prospects counts member records still in the prospect lifecycle state.

New members shows records created in the selected period and provides the names behind the total.

Use attendance as an early-warning system

Check-ins compares recorded attendance with the previous period. A reservation alone is not a check-in and does not increase this metric.

Quiet members are active members established for at least 14 days with no attendance during the last 14 days. Open the named member records and assign a respectful follow-up instead of treating the count as a cancellation prediction.

Interpret subscriptions and MRR carefully

Active recurring memberships counts active monthly and weekly-limit plan records. MRR adds those recurring plan amounts and normalizes annual prices to a monthly figure. One-time class packs are excluded from both metrics.

Use MRR as an operating estimate, not cash received. Confirm invoices, discounts, taxes, fees, refunds, disputes, reserves, and payouts in the school’s Stripe account and accounting system.

Turn the follow-up lists into work

People to follow up with combines past-due billing, quiet active members, and trial members. Open each member record to review the evidence before contacting anyone.

Assign an owner, next action, and due date outside the report. Revisit the same period at the next operating meeting to see whether the underlying records changed.

Watch out: Recorded pro-shop revenue reflects sale records entered in Dojo Wizard; it does not prove that a card or cash payment settled. Reports are not an accounting system, general ledger, tax report, or bank reconciliation.

Troubleshooting

If something looks wrong

Why is MRR zero or lower than expected?

Only memberships currently recorded with active subscription status contribute. Confirm the member’s current membership, its plan amount and interval, and Stripe status where applicable.

Why is a member marked quiet after booking classes?

Quiet-member logic uses completed attendance, not reservations. Check the member into class so the roster reflects the visit.

Why does pro-shop revenue not match the bank?

The metric totals recorded counter-sale amounts. It does not subtract refunds or fees or verify settlement through a payment processor.
