Run events and seminars

Create seminars, belt tests, camps, or tournaments, protect the final seat, and open free events to linked members.

Before you start

  • The event name, school-local start time, and optional description.
  • A capacity when the event has a hard attendance limit.
  • An optional registration cutoff no later than the event start.
  • Manager access to create the event or change portal registration.

Create the event in the school timezone

Open Events and enter the name, description, start, optional registration cutoff, optional price, and optional capacity. Times use the school timezone shown on the page.

If no cutoff is entered, registration closes at the event start. A cutoff cannot be later than the start.

Choose staff-managed or member registration

Every new event starts staff-managed. Open the event and use Register a member when the front desk should control the roster.

For a free future event before its cutoff, an owner or manager may choose Open in portal. Linked active members and trial students can then register themselves.

Let a member or parent claim a seat

In the portal, select the correct linked family profile and choose Register. The roster and spots remaining update from the committed registration.

Capacity is protected when multiple people act at once, so the event cannot accept more active registrations than its configured limit.

Handle changes before the cutoff

A member may cancel a portal-created free registration before the cutoff. The released seat becomes available again without deleting registration history.

A staff-created registration must be changed by staff. Staff may register or cancel a member until the event starts, including when a displayed event price is handled outside Dojo Wizard.

Close the portal when details change

An owner or manager can choose Close portal registration to stop new self-service registrations. Existing registrations remain on the roster.

Use the registered count as an operational headcount and contact the school directly about any payment, waiver, equipment, or arrival instructions.

Watch out: A displayed price does not collect money. Paid checkout, refunds, event check-in, reminders, public guest registration, and waitlists have not shipped.

Troubleshooting

If something looks wrong

Why is Open in portal disabled?

The event has a positive price, has started, or its registration cutoff has passed. Paid and closed events remain staff-managed.

Why can a member not cancel?

Only a portal-created free registration can be cancelled in the portal before the cutoff. Staff-created or priced registrations must be changed by the school.

Why did the last seat disappear while I was registering?

Another committed registration claimed it first. Capacity is checked again when the registration is saved so the event cannot be oversold.
